amoCRM or Bitrix24: how to choose a CRM

Choose a CRM by how your sales work. amoCRM fits when the team sells through chats and calls and needs a simple deal pipeline. Bitrix24 fits when the same system also has to hold tasks, projects and documents. HubSpot is for those who sell to foreign markets and run email and marketing next to sales. At HEXIS, rolling out any of them costs from $100 and takes 3–5 days.

The three systems by task

All three store clients, move deals through stages and give managers tasks. The difference is what the system is built around. The comparison below is by task: each service changes its plans and features itself, so check current figures on its own site.

Five questions that decide the choice

  • Where does the client write first? If it is WhatsApp, Telegram and the phone, you need a system where the chat and the deal share one card. Check the chat connections before you buy.
  • What else must the system run besides sales? Department tasks, projects, documents and approvals already live inside Bitrix24. If you need none of that, the extra modules only make the team's training harder.
  • How many people will use it? The more staff and roles, the more access rights and the cost of each seat matter. Work it out from the current plan on the service's site.
  • Where does your market live? If your clients and payments are abroad, check how the system works with the payment providers and messengers you need. For sales abroad, HubSpot is often looked at first.
  • What must be connected? The site, a bot, telephony, 1C, a bank. Each system has its own API and ready integrations; write the list of links you need before choosing and check it against that list.

When each one fits

  • amoCRM. Sales run through chats and calls, there are many leads, and the team needs a simple pipeline and a quick start.
  • Bitrix24. The company wants one system for everything: sales, tasks, projects, documents. It fits when the work around a deal is wider than the sale itself.
  • HubSpot. Sales go to foreign markets, and email and marketing have to sit in one place with sales.
  • A custom CRM. It is for when no off-the-shelf one fits your process or you need unusual rules. It is better to start with an off-the-shelf one: a custom CRM is built when that is no longer enough.

Mistakes when choosing

  • Choosing by the number of features. The team uses a fifth of them; the rest gets in the way.
  • Paying for every seat at once. Connect the people who run deals first and add the others when they start working in the system.
  • Moving the old mess across. Duplicate clients and stale deals are worth cleaning before the move, or the reports in the new system will be wrong.
  • Not describing the process before setup. The deal stages and roles come first, then the setup: the other way round you get a pipeline nobody works in.

What the rollout includes

A rollout means setting the system up around your process. At HEXIS it includes:

  • Process mapping. We map the deal path and roles before configuring anything.
  • Pipelines & roles. Stages, permissions and automatic tasks.
  • Integrations. We connect the site, bot, telephony, email, accounting and banks via API.
  • Documents. Contracts, invoices and completion certificates generated from a record.
  • Dashboards. Revenue, conversion and CAC per channel.
  • Onboarding. Guides and training so the team actually uses it.

What it costs at HEXIS

A “from” price is the smallest scope. The sum for your company is fixed in the contract together with the stages and the timeline. The services' own licences are not in the price: you pay those to the service directly.

What to do once you have chosen

From a CRM a lead flows into end-to-end analytics, and repeating routine moves into automation. Leads from messengers are easy to collect with a Telegram bot straight into the deal card.

To get an exact quote, fill in the brief: four short steps, about three minutes. Describe how sales run now and what has to be connected. Within a working day we send a solution and an estimate with the price and the timeline.

Questions

It depends on the process. amoCRM suits sales through chats and calls, Bitrix24 suits companies that also want tasks, projects and documents in the same system. The five questions above help you choose.

Rolling out an off-the-shelf CRM at HEXIS costs from $100 and takes 3–5 days. A CRM with integrations (site, bot, telephony, 1C, documents) costs from $350 and takes 2–3 weeks. The service's licences are paid separately.

Yes. Clients and deals are moved by export and import, so it is better to keep the data tidy from the start: no duplicates and one source for every lead.

Yes, with de-duplication and checks.

Yes, as soon as leads arrive from several places and more than one person works them. Then spreadsheets and chats lose deals, while in a CRM every lead has a stage and an owner.
