CRM implementation: how it works and how long it takes

A CRM rollout goes in steps: we map how a deal runs today, set up the pipeline and roles, move the clients across, connect the site, the bot and telephony, and train the team. At HEXIS an off-the-shelf CRM (amoCRM, Bitrix24 or HubSpot) takes 3–5 days and costs from $100; a CRM with integrations takes 2–3 weeks and costs from $350. Below: what happens at each step, what you prepare and what moves the timeline.

The steps and what happens in each

First we map how a deal runs today, and only then set the system up: that way the pipeline follows the team's real work. The order of steps is the same for amoCRM, Bitrix24 and HubSpot.

Connecting the site, the bot, telephony and 1C, and documents generated from the record, belong to the “CRM + integrations” format.

How long a rollout takes

A CRM rollout at HEXIS takes 3 days to 3 weeks: an off-the-shelf system without integrations is quicker, while links to the site, the bot, telephony and 1C take longer, because each one is set up and checked before launch.

The project is split into stages, each with a clear result. You pay for the first stage, then for each next one after signing off the previous.

What to prepare before the start

  • A description of the deal: where leads come from, who answers first, which stages a client goes through before paying. A talk at the first meeting or a sketch on paper is enough.
  • A list of people and roles: who runs deals, who manages, who only needs reports. Access rights and the number of seats in the plan depend on it.
  • Data to move: client spreadsheets, an export from the old CRM. Duplicates and long-closed deals are best marked in advance.
  • What to connect: the site, a bot, telephony, email, 1C, the bank. Each service needs admin access.
  • The chosen system. The CRM account is best registered to your company: you pay the service for the licence directly. If you have not chosen yet, the comparison is in amoCRM or Bitrix24.

What moves the timeline

  • The deal stages are not agreed. If they are decided during setup, the pipeline has to be redone.
  • Messy data. Duplicates, one phone number written several ways and stale deals add cleaning work before the move.
  • Missing access. Connecting telephony, 1C or the bank waits until admin rights are granted.
  • Many special rules. Each integration and each unusual rule is set up and checked on its own.

Why teams drop a CRM and how to avoid it

  • The system is more complex than the process. Fields and stages nobody fills in are better removed: keep the ones decisions are made on.
  • Chats live elsewhere. If a manager talks to the client in a messenger and copies everything into the CRM by hand, they will stop. Connecting the chats removes the double work.
  • Nobody looks at the reports. When meetings and the sales plan run on the CRM, the team keeps it filled in.
  • There is no rule. Agree that a deal not in the CRM does not exist, or some leads will drift back into chats and spreadsheets.

Launch and the first weeks

  • Onboarding. Guides and training so the team actually uses it. New hires later learn from the same guides.
  • In the first weeks, watch which stage deals get stuck at and which fields stay empty: that is the list of first changes.
  • For the first 30 days we fix bugs in the delivered work free of charge. New pipelines, integrations and changes run on a subscription.

What to connect after the CRM

Once deals run through the CRM, end-to-end analytics is connected to it: it shows which ads bring paid deals. The “Site + bot + CRM” system joins the site, the bot and the CRM into one system: from $350, 1–2 weeks.

How to get an exact quote

Fill in the brief: four short steps, about three minutes. Describe where leads come from, how many people work them and what has to be connected. Within a working day we send a solution and an estimate with the price and the timeline.

Questions

An off-the-shelf CRM (amoCRM, Bitrix24 or HubSpot) takes 3–5 days, a CRM with integrations (site, bot, telephony, 1C and documents) 2–3 weeks. The timeline is fixed in the contract; unagreed deal stages, unready data and missing access to services can move it.
